Card reader and payment keypad on a retail fuel dispenser

Pay at the Pump Acting Up? Start With These Details

When a customer says a card reader “is not working,” the service team still has several questions to answer. Is one dispenser affected, or every outdoor payment terminal? Does the failure happen before authorization, during the transaction, or when a receipt should print? A clear report helps narrow the first service visit without guessing at the cause.

Record the symptom, not a diagnosis

Write down the dispenser number, the approximate time, the exact on screen message if one appears, and what the customer tried to do. Note whether cards fail only at that pump, whether other payment methods work, and whether the issue is intermittent. If the in store POS is also affected, include that detail. Do not collect or send a customer’s full card number, PIN, or other sensitive payment information.

Payment problems can involve more than the reader face. Outdoor payment devices, the dispenser, site controller, POS, and payment connectivity operate together. The pattern across the site helps a qualified technician decide where to start. A problem at one pump points to a different investigation than a problem at every pump.

Protect the customer experience while you arrange service

Follow your site’s procedure for taking a faulty payment point out of use and directing customers to another working option. Tell staff what to report if the issue happens again. If a reader appears tampered with or an error suggests a security concern, follow your payment provider’s security and incident procedures rather than trying to fix it on the forecourt.

Keep a short record of recurring failures. A single outage may be resolved quickly, but repeated authorization delays, reader errors, or missed transactions are a reason to review the equipment and its service history. That review can help distinguish a repair from a broader upgrade discussion.

If pay at the pump is causing repeat disruptions, Gasoline Equipment can review the symptoms and coordinate the appropriate service. Share the site address, affected dispenser numbers, equipment details, and the error pattern when you reach out.
